Dow Chemical Document Administration in Rayong, Thailand
The Document Administrator is the true owner of the Document Management System for the assigned department. He/she needs to ensure successful implementation and maintenance of both hardcopy and electronic DMS within a department by following the DMS Resource Handbook. This role will also act as a Subject Matter Expert (SME) for ODMS (Operating Discipline Management System) elements relative to Document Management.
To ensure that documentation is organized, accessible and reviewed for accuracy.
The use of collective best knowledge and experience will capture and sustain new gains.
Plans, implements and maintains electronic DMS file share
Plans, implements and maintains hardcopy DMS library
Communicates DMS updates to personnel via MOC (Minute of Change) from DMS Coordinator
Create necessary binders for a library using WebEDMS (Electronic Document Management System)
Link documentation into WebEDMS, sets review dates and document ownership
Works with ODMS Coordinator to ensure conformance of ODMS elements
Provide Document & Records Management input into Department MSR as appropriate
Coordinates document slotting and movement for created or modified documentation
Works with DMS Coordinator to resolve any DMS related issues.
Works with ODMS Element / Section Owners in implementing and maintaining documents and records for each section.
Provide training and coaching on the DMS to Section Owners and Users.
Participates in audits, as appropriate.
Min. graduated from High Vocational in any related field.
Minimum of 2 years’ experience in administrative & document function.
Good communication in English
Good computer skills in MS Office.
Proactive, Initiative with strong interpersonal skills
